Document the coordination that actually occurred among the trades on site — not a theoretical trade list. Record who was present, which area they occupied, what they waited on, and what they handed off, using meeting notes, trade schedules, daily reports, and subcontractor records aligned to the same location IDs as photos and the estimate. Multi-trade restoration often sequences mitigation, demolition, roofing, electrical, plumbing, HVAC, drywall, flooring, painting, and specialty trades; write the sequence that happened on this job. Duration records show when project-level activities occurred. Keep start and end dates, phase dates, trade schedules, and contemporaneous daily or project logs. A contractor claim file is easy to review when another qualified person can reconstruct the project from the records without guessing how they fit together. How should contractors organize claim documentation? Keep chronology, photos with context, traceable measurements, aligned estimates, explained missing work, organized supporting records, consistent names, and visible open issues in a file another reviewer can follow. Volume alone is not enough — hundreds of unlabeled photos and mixed PDFs still slow review. Another qualified reviewer should be able to understand what happened, what was observed, what work was performed or is required, how quantities were established, what documentation supports the scope, which estimate issues need review, and what remains unresolved. If that story lives only in one person's memory or a scattered email thread, the file is not review-ready. Organize chronology, photos, measurements, and supporting records so a new estimator, claim manager, or teammate can pick up the file without a briefing.
Keep unresolved items visible in one place instead of burying them in correspondence. Typical open items include a quantity discrepancy, omitted scope, a missing supporting document, a pending specialty report, an unresolved estimate line, or a reinspection item. List the item, the area, what is still missing, and who owns the next capture. A review-ready file makes that status obvious so another qualified person can see what still needs attention.
